Latest release. Service Scout v3.0.0 brings proposals, richer messaging (SMS/MMS), realtime notifications, stronger issue workflows, user forms, workspace feature toggles, and many UI and reliability improvements. See the feature docs for step-by-step guides.

Highlights

  • Proposals — Create and send client proposals, optional slideshow view, extra templates, and email when a client accepts or declines.
  • User forms — Build and assign forms to users; signing, preview, and “My forms” in the profile menu.
  • SMS & messaging — Messaging inbox, per-user threads (including from issues), MMS with HTTPS media, and safeguards against accidental sends.
  • Notifications — Notification list page, optional realtime updates in the browser, and clearer notification behavior.
  • Issues — Priority and stale tools (from v2.15) plus tags, tasks required before closing, purchase orders / tracking in a slideover, and order line quantities.
  • WorkspaceWorkspace features toggles premium options such as BookStack knowledge base search and linking on issues.
  • QuickBooks OnlineOne OAuth connection per QuickBooks company; invoice document numbers can be left for QBO to auto-assign.
  • Email & test environments — Safer defaults when not on production (email may be suppressed unless allowed; test copies often log mail instead of sending). Customer-facing email rules tightened where configured.

Proposals

When Proposals is enabled for your workspace, staff with access see Docs → Proposals in the navigation.

  • Create and edit proposals from templates (including Website design where configured).
  • Send a client link by email; clients can view (and optionally authenticate with a one-time code where enabled), accept, or decline.
  • Staff can receive email when a client accepts or declines (so follow-up is not missed).
  • A slideshow-style document view is available for supported proposal types.
  • AI-assisted drafting may be available behind a feature flag; your admin controls whether it appears. Always review AI-generated content before sending.

User forms (formerly “customer forms”)

  • Docs → User forms (for users who manage forms) — create, edit, and assign forms.
  • Profile → My forms — end users open and complete forms assigned to them.
  • Signing — improved signing flow and reliability; signed PDFs are treated as immutable with a stored hash for integrity.
  • OTP login may be used where your organization enables it.

SMS, MMS, and messaging

  • Open Messaging from the navigation for an inbox of SMS threads by contact.
  • Open a user or an issue (requestor) to see the SMS thread in context.
  • MMS — attach images or paste HTTPS URLs to picture messages; links must be publicly reachable so the recipient’s network can load the image.
  • Inbound SMS can notify staff; unknown inbound numbers may be handled according to your workspace policy (including creating a user record where allowed).
  • Accidental send protection helps prevent mistaken outbound messages.

Notifications and realtime

  • Open Notifications from the navigation to see history and open items.
  • When your organization enables live updates, notifications can refresh in realtime without reloading the page.
  • Per-user preferences remain under Profile → Alerts & notifications (and related settings).

Issues and work tracking

  • Priority levels (v2.15) — required on create; manage levels under Settings → Issue priority levels.
  • Stale tickets (v2.15) — dashboard count, filters, and thresholds under Settings → Issue settings.
  • Tags — use tags (including structured key–value tags where enabled) to mark and filter tickets.
  • Tasks — issues may require all tasks to be completed before they can be closed (when your workspace enforces this).
  • Purchase orders & tracking — open from the issue table or issue page in a right slideover instead of losing your place on the main page.
  • Orders — line items can include quantity where the UI supports it.

Workspace features and knowledge base

Admins with workspace settings access should review Settings → Workspace features:

  • Turn major modules on or off (for example Devices, Parts, Proposals, SMS messaging, Knowledge base).
  • Knowledge base (BookStack) — search BookStack from an issue and link pages to tickets. This is a premium capability: your administrator completes the BookStack connection and enables the workspace toggle. Turning it off hides linking UI; existing links are kept.

QuickBooks Online updates

v2.14 documented per-user QBO OAuth and sync toggles. v3.0.0 adds:

  • One OAuth connection per QuickBooks company — reconnect behavior and admin expectations may change; coordinate with your accountant so only the intended QBO company is linked.
  • Invoice document number — can be left unset so QuickBooks auto-generates document numbers where applicable.

Dashboard, reception, and UI

  • Dashboard — KPI-style summaries and fixes; statistics behave more consistently across deployments.
  • Reception — layout and usability improvements for front-desk use.
  • Dark mode and theme polish (including after moving between pages in the app, comments, text areas, and legal pages).
  • Slideover panels — many create/edit flows (users, services, events, import/export) use a right slideover for a calmer workflow.
  • License and Privacy policy pages include a back to dashboard link.

Email verification

  • Verification emails use links that work reliably from common mail clients and devices.
  • User profile pages can show when the email address was verified.

Upgrading (for admins)

  • Apply your usual database update steps after deploying v3.0.0 (migration history was consolidated in this release line).
  • Non-production email may be suppressed or logged unless explicitly allowed; confirm mail settings before testing customer journeys.
  • Live notification updates need the same hosting configuration on staging and production if you rely on realtime delivery.
